The process
How it works
Four stages. You are involved in the first two and, if you want, barely at all after that.
-
1
Tell us about the party
The date, the age, roughly how many children, and anything your child has already decided is non-negotiable. Five minutes is enough to start.
-
2
We build the plan
A written plan: concept, venue options, vendor recommendations, a run-of-show and a full cost breakdown. You see every line before anything is booked.
-
3
We book and manage everything
Once you approve, we contract the venue and vendors, handle deposits and scheduling, and chase every confirmation so you do not have to.
-
4
We run the day
A planner is on site for setup, vendor arrivals, timing and teardown. Your job on the day is to be at your own child's party.
Stage one
The brief
A conversation, not a form. Fifteen minutes on a call or a written enquiry — whichever suits you.
- The date and the age. These two set almost everything else: venue availability, party length, activity choice and how many children is sensible.
- Roughly how many guests. An estimate is fine. We will tell you what your options can comfortably hold.
- Your budget range. The single most useful thing you can tell us. It shapes the plan from the start instead of being discovered at the end.
- What your child is into. This is where the theme comes from. It does not have to be coherent yet.
- Any fixed points. A venue you have already booked, a relative flying in, a sibling nap schedule, a vendor you love.
What we need from you
Almost nothing prepared. If you know the date and the age, that is enough to have a useful first conversation. Everything else can be decided together.
Stage two
The written plan
Everything on one document, costed, before anything is committed.
Concept
The theme, the palette and the look, with reference images so you can see it rather than imagine it.
Venue options
Three to five real options with capacity, cost, setup window and restrictions compared side by side.
Vendor recommendations
Named vendors for each category with what they cost and why we are recommending them specifically.
Run-of-show
The day, minute by minute, from vendor load-in to the last guest leaving.
Budget
Every line item with its cost, so you can see exactly where the money goes and adjust before you commit.
Contingencies
The wet-weather plan, the vendor backups, and who makes which call if something changes.
Stage three
Booking and management
Once you approve the plan, the work moves to us entirely. We contract the venue and every vendor, manage deposits and payment schedules, confirm timings, and chase the confirmations that otherwise sit unanswered in your inbox.
- Contracts read, negotiated and signed on your behalf
- Deposits and payment schedules tracked
- Dietary requirements collected and passed on in writing
- Delivery and setup windows confirmed and tightened
- A single shared document you can check any time
Stage four
The day itself
A planner arrives before your first vendor and leaves after the last box is loaded. That is the part families tell us they underestimated.
- Setup supervised and finished before guests arrive
- Vendors met, briefed and kept to the schedule
- The run-of-show actually run, including cake timing
- Problems solved without being escalated to you
- Full teardown, with rentals packed and collected
Ready when you are
Send us the date and the age and we will tell you what is possible.
